For organizers

You create the sign-up and share the link.

How do I create my first sign-up?
  1. Go to Create a sign-up. Enter your email and click the sign-in link we send you. There's no password.
  2. Choose Volunteer sign-up (people pick a slot: bring a dish, work a shift) or Lunch or meal (people reserve a seat and choose from your menu).
  3. Fill in the date, time and place. Then answer a few short questions (menu, payment, do you need helpers?). Only the details you need appear.
  4. Click Create and get the link. Copy the link from the Overview tab and send it by email, text message or your group chat.
I didn't get the sign-in email, or the link says it expired.

Check your spam folder. Each link works once and expires after an hour, so if you clicked an older email, ask for a new link on the sign-in page and use the newest one. It works in any browser or on your phone.

Can I change the event after people have signed up?

Yes. Open the event and choose Edit event. You can change the title, date, time, place and details, rename slots, change how many people a slot needs, add slots, and add or change menu items.

A slot or menu item can't go below the number of people already signed up or items already ordered. If you move the date, time or place, tick the box to let everyone know. Reminders always move to the new time.

Can members change their own sign-up?

Only if you allow it. When you create or edit an event, under After people answer choose:

  • No (the default): members email you, and you make the change on the People tab.
  • Yes, until a date: members can change their lunch, switch slots or fix their name from their private link until the end of that day. After it, they're asked to email you.

Separately, Can they cancel themselves? is Yes by default: members cancel from their private link. Choose No, they email me to cancel if you want every cancellation to come to you. Members see the contact email you enter (your sign-in email unless you change it, for example to a club address).

How do I freeze the lunch order for the kitchen or caterer?

Set Last day for changes to your caterer's order deadline (or leave changes off). After that day members can't change their lunch any more, so the For the kitchen totals on the Lunch & payments tab and in the Report stay put. Print or save the Report then and send it to the kitchen.

Two things can still change the count after the cut-off, so check the Report once more before you order:

  • New sign-ups are still accepted until the event is full or starts. To stop them, lower the seats to the number already reserved on the Edit event page.
  • Cancellations are always allowed. History shows anyone who cancelled after the cut-off.

If a member emails you a change after the cut-off, you can remove them and add them back by name with the right lunch. Note that a name you add has no email, so they won't get any emails, and you'll need to mark them paid again.

Are people told when I change the event?

If you change the date, time or place, tick "let the people signed up know" when you save. Each person gets an email. Their reminders move to the new time either way.

Other changes, like renaming a slot or changing the menu, aren't sent as a message. People see them on the sign-up page and on their private link. People you added by name have no email, so tell them yourself.

If you remove someone, they aren't sent a message, so let them know.

Will I know when someone signs up, changes or cancels?

Yes. The event's Overview shows Recent activity, and the History tab lists every sign-up, cancellation, lunch change, slot switch, payment and edit, with who did it and when. People who tap "No, I can't make it" appear in a Not coming list on the People tab and in the report. You aren't emailed about each one, so check the event before you shop or print the list.

Can I remove a slot or a menu item?

Yes. Under Edit event, tick Remove next to the slot. If people are in it, you'll see how many; when you save, they're taken off it and each gets an email. For a menu item, untick Offered: nobody new can order it, and orders already placed keep it. Price changes apply to new orders only.

Someone in my group has no email. Can they still sign up?

Yes. On the People tab, open Add someone by name under the slot. They won't get emails and aren't in your copied email list, so add a note to yourself, like "I'll call her Friday".

How do I remove a duplicate or a mistaken sign-up?

On the People tab, click Remove next to the name. Their spot opens up again.

How do I get a list of everyone and what they chose?

Open the event and choose Report. It shows the current state on one page: totals, the kitchen tally, everyone by slot with their lunch and payment, and refunds due. Click Print or save as PDF to print it or save it as a file to email.

Posting the list at the event? Click Hide emails first. Want a spreadsheet instead? Use Spreadsheet (CSV), which opens in Excel, Numbers or Google Sheets.

How do I keep track of who paid?

On the People tab, choose how they paid and click Mark paid. The Lunch & payments tab shows what's collected, what's still due, and anyone who cancelled after paying and needs a refund. We're In never handles money: people pay you at the event, through your own PayPal, Venmo or website link, or either (you choose when creating the event). The money goes straight to your group.

How do I remind people?

On your event's Overview, under Email everyone, click Copy emails: it copies the email of everyone who said yes, each once. Start a new email in Gmail, Outlook or any email app and paste them into BCC (not To or CC), so members don't see each other's addresses. Mention that they can change or cancel with the private link in their confirmation email. Names you added without an email aren't in the list: contact them yourself.

Can I print a list to tick people off at the door?

Yes. Open the Report tab and print it. The last page is a check-in sheet: everyone in last-name order with a box to tick, their lunch, anything still to pay, and their helper slots, plus blank rows for walk-ins.

Can an event be cancelled?

Ask the We're In admin. A cancelled event isn't deleted: its page says it's cancelled (with a message if you like), nobody can sign up or change anything, reminders stop, and members are emailed. It can be brought back later, with everyone's sign-ups as they were.

Who can see people's email addresses?

Only you, the organizer. Members never see each other's names or emails: the event page only shows how many people have said yes. Contact details are deleted automatically 90 days after the event.

For participants

Someone sent you a link to sign up.

Do I need an account?

No. Open the link your group sent you and answer one question at a time: are you coming, your lunch (or bring your own), whether you'd like to help, then your name and email. It works on any phone or computer.

How do I change what I signed up for?

It depends on the organizer. The event page tells you which applies. If they allow changes, use your private link (it's in your confirmation email) until the last day they set. Under Change my sign-up you can:

  • Change my lunch: add or remove items, or switch to bringing your own. You keep your seat while you change it.
  • Switch to a different slot, if it still has room.
  • Fix my name.

If changes aren't allowed, or the last day has passed, your private link shows the organizer's email: write to them with your name and what you'd like to change.

I can't make it. How do I let the organizer know?

On the event page, choose No, I can't make it, enter your name (email optional) and tap Let the organizer know. It doesn't take anyone's spot. If your plans change, come back and choose Yes: you'll come off the "not coming" list automatically.

Can I sign up for more than one thing?

Yes. On the event page, tick every helper slot you'd like before you submit. Later, your private page shows Can you also help?: tap Count me in next to any open slot and you're signed up with the same name and email, no typing. Your page also lists your other sign-ups for the event, each with its own Cancel button.

Does the organizer see my changes?

Yes. Every change you make, and every cancellation, shows up right away on the organizer's page for the event. You'll also get an email confirming the change, if you signed up with an email.

Will I be told if the event changes?

If the organizer moves the date, time or place, they can send everyone a message. Your private link always shows the current details.

I already paid. Can I still change my lunch?

Please ask the organizer. Once you've paid, your order is locked so the money stays matched to it.

I want to use a different email.

Cancel with your private link, then sign up again from the group's link with the new email or number.

How do I cancel?

Usually you open your private link and click Cancel, even when changes are closed. Your spot opens up for someone else, and you're off the reminder list. Some organizers ask you to email them instead; your private link then shows their email. If you had already paid, the organizer will arrange your refund.

I lost my private link.

Search your email for "We're In". If you can't find it, ask the organizer: they can remove your sign-up so you can sign up again.

How do I pay?

Your private link shows what you owe and how: at the event, or with the group's own payment link. When paying online, use the same name you signed up with so the organizer can match it. We're In never sees your card.

Who can see my details?

Only the organizer sees your name and email. Other members only see how many people have said yes. We never sell or share them, and they're deleted automatically after the event.

When are my details deleted?

You don't need to do anything: your name and email are deleted automatically 90 days after the event. If you'd like them removed sooner, ask the organizer.
